Job Description:

We are seeking an experienced Senior Facilities Management Lead to oversee contract management processes and enhance communication across departments. This role is a key part of our Operations Team, providing professional administrative support and assisting with the day-to-day operation and delivery of contracts.

Key Responsibilities:
  • Lead and oversee the contract support team, providing guidance and mentorship.
  • Provide relevant facilities information and administration support to the account team as required.
  • Maintain monthly performance measurement information for line management in support of contract performance requirements.
  • Report on a monthly basis – KPI tracker, security audit, contact list, cleaning audit, environmental/health & safety inspection, site inspection, work orders, accident statistics.
  • Support JLL and Client Task and Permit to Work systems as required, issuing work schedules to site teams, monitoring tasks through to completion, and contacting suppliers and Landlord as required.
  • Support the Facilities Manager in the effective management of the team, including occasional cover in the event of unplanned leave.
  • Assist Facilities Managers in preparing Standard Operating Procedures manuals.
  • Ensure compliance with JLL policies, procedures, and standard practices.
  • Raise Purchase Orders (POs) and coordinate invoicing and other support of the AP team.
  • Manage consumables and critical spares held on site, maintaining an up-to-date inventory.
  • Ensure suppliers provide service per contract scope and work in a safe manner, escalating issues to the line manager.
  • Regularly work with external soft services contractors including quality audits and oversight of KPI/SLA delivery.
  • Support the coordination of office operations, procedures, and resources to facilitate organizational effectiveness.
  • Set up, maintain, organize, and control JLL central files, information, data, and reports.
  • Ensure prompt resolution of customer complaints, escalating to the line manager as required.
Requirements:
  • An experienced Facilities Administrator with previous experience in a similar role.
  • Able to multi-task and maintain professionalism at all times under stressful situations without supervision.
  • Proficient in Microsoft Office and Outlook, with excellent written and verbal communication skills.
  • Experienced in a hands-on role within an events and facilities environment.
Estimated Salary: $85,000 - $105,000 per year
