Are you a highly organized and detail-oriented individual with excellent communication skills?

We are seeking an Administrative Support Specialist to join our team at The Advocate Group.

The successful candidate will provide administrative support to the Marketing Leadership Team, including managing diaries, arranging meetings, and coordinating events.

A strong understanding of MS Office 365 is essential, as well as the ability to maintain confidentiality and work well under pressure.

Key Responsibilities:

  • Provide administrative support to the Marketing Leadership Team.
  • Maintain and manage Marketing VP diaries, arranging meetings and booking meeting rooms/software links.
  • Coordinate Marketing VP meetings and conferences, including venue/hotel booking, travel, and catering.
  • Attend meetings, take minutes, track and maintain action items to closure.
  • Create PowerPoint presentations, Word documents, and Excel spreadsheets.
  • Prepare and submit multi-currency expense reports.
  • Create and manage purchase orders, ensuring payment of invoices with the finance team.
  • Conduct specific projects and research on behalf of the Marketing Team, managing information flow accurately and timely.
  • Maintain office systems, data management, and electronic filing as needed.
  • Efficiently administer Marketing legal contracts and other documentation.
  • Implement new processes and procedures to streamline work.
  • Perform other ad hoc duties as required by the EMEA Marketing Team, adapting to the evolving needs of the business.
