Job Description

Job Title: Academic Officer

Job Summary:

The Academic Officer will play a critical role in supporting the Post-16 Study Programme at St Edmunds Society. This is a term-time only position that requires a proactive, enthusiastic, and flexible approach to administrative duties.

Key Responsibilities
  • Administrative Support: Complete contractual paperwork, including starter paperwork and leaver paperwork, in accordance with ESFA guidelines.
  • Student Inductions: Efficiently complete inductions for new students and process enrolment paperwork in accordance with ESFA guidelines.
  • Progress Monitoring: Track students' progress and achievement while on programme, and monitor progression upon completion, to monitor success rates of positive destinations over a six-month period.
  • Attendance Management: Track attendance, contact students, parents, and professionals, and arrange attendance meetings.
  • General Administration: Provide general admin support, including completing attendance letters, consent forms, and logging information on the CRM system Arbor.
  • Documentation Management: File, manage papers, and electronic documentation.
  • Bursary Administration: Record, administer, and allocate discretionary and enhanced ESFA bursaries relating to the attendance of young people aged 16-19.
  • Behaviour Management: Work with the Behaviour Intervention Team to manage student behaviour on site and off site, in accordance with St Edmunds Society's ethos and Behaviour and Rewards Policy.
Other Responsibilities
  • Health and Safety: Ensure the health, safety, and well-being of students, staff, and visitors to the centre in accordance with St Edmunds Society's operating policies.
  • Student Support: Support all students in achieving their potential by taking a proactive, enthusiastic, and flexible approach in accordance with St Edmunds Society's ethos and operating procedures, policies, and corporate strategy.
  • Safeguarding: Ensure that all staff and students are aware of and comply with St Edmunds Society's safeguarding requirements and comply with St Edmunds Society's safeguarding policies and practices laid down.
  • Continual Professional Development: Undertake Continual Professional Development (CPD) to ensure that all vocational and teaching and learning knowledge is current and up to date.
Person Specification
  • Essential:
    • Computer Literacy: Proficient in Microsoft packages, email, and use of the internet.
    • Youth Work Experience: Youth work/Working with Young people qualification level 2 or above.
    • Maths and English: Achieved a minimum of grade C, 4 or equivalent in Maths and English.
    • Information Advice and Guidance: Information advice and guidance qualification, level 3 or above.
    • ICT Qualification: ICT qualification at Level 2 or above.
    • Multi-Tasking: Ability to work in a demanding environment and multi-task.
    • Attention to Detail: Attention to detail.
    • Information Collation: Ability to collate information from multiple documents.
    • Meeting Preparation: Ability to prepare for meetings and take meeting minutes.
    • Communication Skills: Excellent communication skills.
    • Workload Management: Ability to self-manage workload.
    • Reliability: Reliable and non-judgemental.
    • Planning and Preparation: Ability to plan and prepare work in advance.
    • Information Presentation: Ability to prepare and present information effectively.
