Job Title: Administrative Support Specialist
Job Summary: We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will provide administrative support to our customer service, accounts, and sales teams.
Key Responsibilities:
- Receiving and entering customer orders into the SAP system and preparing the necessary information pack.
- Creating customer invoices with specific requirements.
- Reconciling financial documentation and ensuring authorization and control.
- Collaborating with wider organization's departments to resolve any issues or clarify queries.
- Managing customer terms and payment methods.
- Handling payments from customers and ensuring accuracy.
- Coordinating installations with partners on a weekly basis and updating the system accordingly.
- Managing incoming order/enquiries and distributing them to the appropriate recipients.
- Maintaining an organized and tidy work space.
- Providing support during staff holidays and absences.
Requirements:
- Good knowledge of Microsoft Office applications, including Word, Outlook, and Excel.
- Basic IT skills.
- Familiarity with the SAP system or a willingness to learn.
- Excellent communication and interpersonal skills.
- Strong attention to detail and organizational abilities.
- The ability to adapt to varying business needs and cover for team members when necessary.
- A friendly, professional demeanor when interacting with clients, visitors, and colleagues.
