Job Summary
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist and Workplace Coordinator. In this role, you will be responsible for managing a range of tasks aligned with business needs, making this position ideal for someone who is flexible and willing to go the extra mile.
Key Responsibilities
- Ensure that all clients and visitors' requests, and enquiries are fulfilled and exceed expectations
- Be attentive, welcoming and approachable with excellent manners and grooming standards
- Meet and Greet, Sign in and Out and Escort Visitors as per agreed SOPs
- Weekly pass checks on all door and building access cards, chasing for return of outstanding temporary cards, reporting of lost/not returned passes for block as required
- Revoke of temp smart passes using Open Trust systems as per group policy and again the tracking of these cards
- Communicate with hosts and follow instructions within SOPs
- Keep reception area presentable all the times
- Manage room booking for both internal and external including set up, breakdown and basic catering/refreshments
- Manage car parking via the Client booking system
- Carry out basic administration work including assisting with archive requests, printing and laminating
- Deal with mail, couriers and deliveries including scanning of incoming mail where possible according to agreed SOPs
Professional and Personal Competencies/Qualifications
- A good eye for detail and a desire to take responsibility to resolve any issues
- Have experience working with systems (e.g. MS Office, Words, Excel)
- Previous experience in a Customer Service role is essential
- Previous experience in a Reception and/or administrative role is essential
- Motivated, Committed and Flexible
