About the Role

Parexel is seeking a highly skilled and experienced Senior Administrative Assistant to provide administrative support to the Vice President of Medical Communications (Medcom) business. This is a remote-based role in the UK or can be office-based at our Worthing or Uxbridge offices.

Key Responsibilities

  • Provide administrative support to the Vice President and wider Medcom team, including coordination of Outlook schedule, expense reports, filing, scanning, and distribution of financial reports.
  • Maintain and run general office procedures, including documentation, filing practices, ordering and maintaining of supplies and equipment.
  • Be the first point of contact during the absence of the Vice President.
  • Make travel and conference attendance arrangements, including conference registration, hotel, flights, and taxi bookings.
  • Assist in the orientation of new Medical Writing Services staff and training of new Administrative personnel.
  • Coordinate internal and client meetings, including scheduling conference rooms, ensuring equipment is operational, and arranging attendee invites.
  • Coordinate signature of contracts and collection of department metrics.
  • Be a PMED coordinator for Medcom and ensure setup of standalone projects in PMED.
  • Be the Medcom Training Coordinator for the Parexel Learning Management System (LMS).

Education and Experience

  • GCSE level or equivalent.
  • Background in business administration.
  • Considerable experience with computer applications, including email, word processing, spreadsheet, presentation, and database management systems.
