About the Role
We are seeking a highly skilled and experienced Event Executive to join our team at Coventry Building Society Arena. As an Event Executive, you will be responsible for delivering successful events and conferences, working closely with clients and internal teams to ensure seamless execution.
Key Responsibilities
- Work with the Event Management Team to achieve successful delivery of conferences and meetings.
- Enhance the standard of events and increase incremental sales spend.
- Proactively work with organisers to achieve successful events for both the organisers and the venue.
- Operate and maintain the venue booking system, producing detailed event banqueting orders.
- Collect event feedback from clients post-event to achieve successful rebooking of future events.
- Liaise with clients to create detailed event banqueting orders for both clients and venue operational teams.
- Provide venue, contractor, and partner information to clients to ensure smooth event execution.
- Liaise with onsite and offsite contractors to arrange additional services for clients and drive incremental revenue.
- Accurately process all documentation and correspondence in a timely manner.
- Attend pre-event client and contractor meetings to obtain final event details.
- Ensure all event documentation is signed off by both client and contractors and submitted to venue teams within agreed timelines.
- Work with the Health and Safety Manager to ensure completion of H&S documentation within set timelines.
- Liaise regularly with operational departments to ensure client expectations and requirements are met.
- Produce detailed P&Ls for events over £10,000, achieving set profit percentages.
- Represent the department in a professional manner to clients, suppliers, and internal colleagues.
- Gather post-event feedback from events and circulate to relevant departments.
- Attend weekly operational function sheet meetings, event planning meetings, and monthly exhibition internal meetings.
- Manage client accounts to increase business growth and rebooking of events.
Requirements

- Flexibility to work outside normal office hours and cover event days, including weekends and public holidays.
- Previous Event Management experience within a conference and banqueting environment.
Aptitude, Skills, and Abilities
- Excellent written, interpersonal skills, and general administration skills.
- Effective team working skills and the ability to work independently using own initiative.
- Ability to work quickly and efficiently.
- Ability to meet deadlines and excellent organisational skills.
- Flexibility in terms of working hours, adapting to deadlines dictated by an event, especially around key dates.
