Interface Recruitment UK is seeking an experienced Document Management Specialist to join their team. This role offers a competitive salary of £45,000 per annum.

About the Role

Job Description: As a Document Management Specialist, you will be responsible for administering electronic document records management systems, ensuring adherence to file conventions and information standards. You will also manage the electronic data room and provide business expertise on SharePoint, supporting its wider use through training.

Key Responsibilities
  • Administer Electronic Document Records Management System (SharePoint) and adhere to file conventions, information standards, and access permissions.
  • Manage the electronic Data Room (SharePoint) and enforce file conventions, information standards, and access permissions.
  • Provide business expertise on SharePoint and support its wider use, including training.
  • Supervise and maintain the electronic Procurement Portal, ensuring company contract and procurement rules are delivered via the portal.
  • Support contract managers on agreed contract management process and delivery.
  • Provide advice and support on public framework contract provision and procurements.
  • Administer the Contracts Register, including contract awards, recordings, and notifications with business sponsors.
  • Support contract owners to schedule renewals and new procurements, ensuring timely and consistent procurement practices.
  • Provide general support to the PMO Office, including external ICT Managed Service Contract issues, ICT training provision, and PMO function support.
  • Co-ordinate and deliver functional management information requirements in a timely manner.
  • Identify and notify risks to People Manager and Business Assurance Manager.
Requirements

Skills and Qualifications: To succeed in this role, you will need effective IT skills, strong organisational skills, and excellent communication skills. You should have a strong problem-solving ability, project planning experience, and autonomy to work independently. Additionally, you must have high levels of integrity and trustworthiness.
