About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Oculus Legal Group. As an Office Administrator, you will play a vital role in supporting our Residential Property team in Farnborough.

Key Responsibilities
  • Client Communication: You will be responsible for communicating with clients in a professional and courteous manner, ensuring that their needs are met and their expectations are exceeded.
  • File Management: You will assist Fee Earners in managing client files, ensuring that all necessary documentation is completed and filed accurately and efficiently.
  • Team Support: You will provide administrative support to the team, including tasks such as data entry, filing, and photocopying.
  • Case Management: You will be responsible for managing your own case load, from initial instructions to exchange of contracts, working closely with Fee Earners to ensure a smooth and efficient process.
  • Compliance: You will adhere to Anti-Money Laundering (AML) and other compliance requirements at all times, ensuring that all necessary checks are completed and records are maintained accurately.
  • Searches and Reporting: You will order searches and report to clients, lenders, and Help to Buy on all aspects of the transaction.
  • Lender Liaison: You will liaise with lenders regarding mortgage offers and ensure that all necessary documentation is completed and filed accurately.
  • Contract Exchange: You will exchange contracts with the Developer's solicitors and communicate with Seller's solicitors and Developers regarding the progression of client files.
Requirements
  • High Personal Standards: You will have high personal standards of work and a commitment to delivering exceptional results.
  • Education: You will have a minimum of 5 GCSEs, including Maths and English.
  • Administrative Experience: You will have previous administrative experience, although no legal experience is required.
