Job Title: International Administration Assistant
Job Summary:
We are seeking a highly organized and detail-oriented International Administration Assistant to join our team at Fortnum & Mason. The successful candidate will provide key support to our Wholesale Account Managers, Wholesale Export Manager, and Merchandiser, ensuring seamless administration and operational processes.
Key Responsibilities:
- Maintain and update the Master Product Data file to ensure accurate and up-to-date information.
- Place customer orders on the system and issue order acknowledgements in a timely manner.
- Responsible for creating new SKUs on the system for wholesale specific items, ensuring compliance with company policies.
- Record and update customer information and pricing on the system, maintaining accurate records.
- Assist and support the Wholesale Coordinator with the international labelling process, ensuring timely and accurate completion.
- Issue purchase orders and credit notes when requested, maintaining accurate records and ensuring compliance with company policies.
- Maintain and update the Credit Note Tracker, ensuring accurate and up-to-date information.
- Issue accurate sales invoices to all customers, ensuring timely and accurate completion.
- Raise no charge and sample orders, despatch and track samples and business materials, ensuring timely and accurate completion.
- Liaise with finance regarding overdue payments under the supervision of the International Accounts Manager, ensuring timely and accurate resolution.
- Updating team documents (e.g. despatch tracker) with order information and making sure all orders are invoiced on despatch.
- Assist and support the International team with product data requests, ensuring timely and accurate completion.
- Log all customer product claims, producing a report at the end of each month to be shared with our warehouse.
Requirements:
- Proven experience in a demanding administration role, with a strong understanding of administration processes and procedures.
- Demonstrate ability to manage a high workload and multi-task in a busy, demanding environment, with excellent time management skills.
- Proven experience of managing tasks through to a set deadline, with the ability to record and track tasks with multiple steps.
- Ability to work within a broader context, understanding how the administration role interacts and impacts on the department.
- Excellent Microsoft office skills, with a strong understanding of CRM systems and processes.
- Excellent communication skills, with the ability to build credibility with a wide range of audiences.
- Excellent attention to detail, with a strong understanding of confidentiality and integrity.
- Robust experience of the CRM systems and processes, with the ability to work with integrity and confidentiality at all times.
