Main Job Responsibilities

The Vehicle Procurement Coordinator will be part of our Procurement team, contributing to the ordering and delivery of approximately 2000 vehicles per year. This role requires a highly motivated, organised individual with excellent attention to detail and the ability to thrive in a team environment.

The full-time, permanent role incorporates the day-to-day administration associated with ordering vehicles for organisations and liaising with them to arrange a suitable delivery. The successful candidate will be responsible for assisting the Procurement Team Leader with the on-going management of a 1000+ vehicle order bank, placing vehicle orders on an online platform with vehicle dealers across the UK, and being a point of contact for suppliers and customers during the order and delivery process.

Main Duties:

  • Assisting the Procurement Team Leader with the on-going management of a 1000+ vehicle order bank
  • Placing vehicle orders on an online platform with vehicle dealers across the UK
  • Being a point of contact for suppliers and customers during the order and delivery process
  • Arranging delivery with the customer and liaising with the supplier to ensure delivery service levels are achieved or even exceeded
  • Communicating with fleet managers, drivers and suppliers
  • Associated reporting required for internal or external use
  • Using a bespoke procurement platform to manage the process

Required Skills and Abilities:

  • Proficient Microsoft 365 skills, particularly Word, Excel, Teams and Outlook
  • Excellent attention to detail
  • Motivated in achieving high levels of customer service and delivery targets
  • Strong communicator with confident audio and video call manner and excellent written skills
  • Interest in learning and using multiple software systems
  • Flexible, helpful, approachable, adaptable, reliable - this role will liaise with all other teams within Day's Fleet
  • Confident in contributing to regular internal and external Teams meetings
  • Highly organised with ability to multitask
  • Ability to communicate and connect with employees, suppliers and management and take direction but also take the initiative when required
  • Work well within a small team whilst also being self-motivated
  • Reacting to workload and using initiative to manage several tasks at once
  • Be numerate when working with business tasks
  • A knowledge and interest in vehicles is desirable but not essential
  • Experience within a vehicle dealership sales administration environment is desirable but not essential
