About the Role

We are seeking a highly organized and efficient Medical Secretary Administrator to join our team at The Hawthorns Surgery. As a key member of our administration team, you will provide administrative support to our medical secretaries, ensuring the smooth operation of our practice.

Key Responsibilities
  • Action and respond to all emails received via the practice email accounts.
  • Forward emails to relevant staff or departments as required.
  • Deal with patient questions and queries, providing excellent customer service.
  • Manage the Advice & Guidance requests, inputting responses into clinical records.
  • Assist the medical secretaries with referral administration, confirming addresses and contacts for departments.
  • Keep patients updated on referral status.
  • Assist with the administration following patient deaths, notifying the Register Office or Coroner as necessary.
  • Record school immunisations into patient notes, and perform data entry for smears and retinal screening results.
  • Prepare two-week wait referrals and handle all incoming post, opening and distributing relevant documents to individuals and departments.
Person Specification

We are looking for an individual with:

  • Administrative experience, dealing with patients/customers over the phone.
  • Essential qualifications: GCSE grade A to D in English and Maths.
  • Desirable: experience of working in a GP practice.
