Job Purpose

To provide administrative support to the Undergraduate Medical School's Assessment Team, ensuring the smooth running of clinical and written examinations.

Main Duties and Responsibilities

  1. Collaborate with the Deputy Manager and Assessment Administrators to administer and compile assessment materials for all clinical and written examinations.
  2. Facilitate academic colleagues in the annual cycle of OSCE station development.
  3. Assist with the recruitment of examiners for all clinical examinations, allocating roles as required.
  4. Support the recruitment of invigilators for clinical examination quarantine purposes, liaising with Registry.
  5. Compile and distribute examiner and student feedback for all clinical examinations.
  6. Support examiner training activities.
  7. Set up and administer clinical and written examinations on and off campus.
  8. Produce and capture clinical and written examination papers and results using IT software systems.
  9. Ensure reasonable adjustments are made for students with disabilities across all examinations.
  10. Work with the Simulated Patient Administrative Assistant to arrange Simulated Patients for clinical examinations.
  11. Update student NES ePortfolio accounts at the start of each academic session.
  12. Provide support for the Undergraduate Medical School's Assessment Committee as required.
  13. Maintain high standards of quality control across all tasks, adhering to relevant Standard Operating Procedures.

Knowledge, Qualifications, Skills and Experience

Essential

  • A1 Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, with experience of personal development in a similar role.

Desirable

  • B1 Further or higher education qualification.
  • B2 Knowledge and understanding of University structures, policy, practices, and procedures.
  • B3 Awareness of GDPR legislation.

Skills

  • C1 Excellent written and verbal communication skills.
  • C2 Tact, diplomacy, and discretion.
  • C3 Ability to work proactively, multi-task, and use initiative.
  • C4 Ability to work independently and as part of a team.
  • C5 Excellent attention to detail.
  • C6 Excellent IT skills, covering Microsoft Office.

Experience

  • E1 Experience of working with and handling large volumes of administrative data, records, and information.
  • E2 Experience of handling confidential personal information with tact and diplomacy.

Terms and Conditions
