Reed is supporting a company in Chelmsford who requires a highly organized and efficient Office Administrator to ensure the smooth operation of the office.

Key Responsibilities:
  • Answering phone calls, delivering messages, and handling client and surveyor inquiries.
  • Ordering stationery and office supplies, and managing office equipment.
  • Booking appointments for clients, surveyors, and managing tender/contract schedules.
  • Administering trade cards, postage, and ensuring timely return of tenders.
  • Typing, scanning, and filing completed quotes and tenders, both electronically and in hard copy.
  • Monitoring project start and handover dates, and maintaining a tender workbook to track progress.
  • Organizing appointments for tenders, printing job specifications, and collating construction phase plans.
  • Providing general administration and project support to the Director, Contracts Manager, and Site Manager.
  • Handling employee and subcontractor documentation, including insurances, health and safety policies, DBS checks, and training renewals.
  • Maintaining company records, including accreditations and liaising with clients, surveyors, and insurers for updates and progress.
Requirements:
  • Proven experience in an administrative role.
  • Excellent communication and customer service skills.
  • Strong organizational skills with the ability to multitask and prioritize workloads.
  • Proficiency in Microsoft Office and data input.
  • Experience with filing and document management.
  • Ability to work independently and as part of a team.
