Job Description

We are seeking a highly skilled Administrative Operations Coordinator to join our team at Maine Tucker.

This is an exciting opportunity to work with a fast-growing search firm specializing in sustainability, with ambitious growth plans and a strong presence across the Atlantic.

  • As Administrative Operations Coordinator, you will be responsible for overseeing a wide range of operations and facilities tasks.
  • You will need to be comfortable taking pride in maintaining our office space while also managing complex senior operational projects.

Your duties will include:

  1. Monitoring stock levels and ordering essential office equipment, from kitchen supplies to hardware.
  2. Managing office facilities, including maintenance and upkeep.
  3. Updating our company website to ensure it remains current and accurate.
  4. Tracking client terms and chasing payments as necessary.
  5. Supporting the onboarding process for new team members, including email setup, hardware ordering, and induction arrangements.
  6. Assisting with exit processes to ensure a smooth transition for departing employees.
  7. Providing CRM management and championing best practices within the team.
  8. Supporting the implementation of reporting tools and processes.
  9. Ensuring data quality, integrity, and regular updates.
  10. Serving as the first point of contact for all IT queries and managing relationships with external IT suppliers.
  11. Oversseeing phone contracts and coordinating internal celebrations, such as birthdays and holidays.
  12. Demonstrating initiative in promoting company culture by driving social activities and arranging team travel, including international trips.
  13. Setting up, managing, and coordinating various internal and external events.
  14. Taking ownership of ad-hoc projects and ensuring their successful completion.
  15. Supporting internal charity initiatives.
