Support Role

Poole Alcock LLP seeks an organized and detail-oriented Office Junior to support our team.


Responsibilities
  • To effectively manage incoming calls by answering promptly and transferring to relevant staff members.
  • To record messages and communicate them to colleagues in a timely manner.
  • To provide accurate information to visitors and callers, ensuring a professional image.

Key Functions
  • Telephone Handling:
    • To answer calls within three rings, demonstrating promptness.
    • To coordinate a high volume of calls during peak periods, prioritizing tasks.
  • Communication:
    • To pass on messages to visitors and callers as requested.
    • To maintain confidentiality and avoid discussing sensitive information.
  • Teamwork:
    • To develop good working relationships with colleagues.
    • To use the departmental directory for efficient call transfers.
  • Safety:
    • To monitor visitor access and maintain a secure environment.
    • To report any potential safety hazards to the line manager.
  • Administrative Support:
    • To provide general administrative assistance to colleagues.
    • To handle post and DX collection and delivery.
    • To receive and store stationery and janitorial supplies.
  • Reception Assistance:
    • To help with reception holiday cover as required.
    • To maintain electronic meeting room calendars.
    • To ensure meeting rooms are tidy and safe before meetings.

The salary for this role is approximately £18,000 - £20,000 per year, based on experience.
