Safiyaa Sample Coordinator Job Description

We are seeking a highly motivated and detail-oriented Sample Coordinator to join our London team. As a Sample Coordinator, you will play a crucial role in ensuring the smooth operation of our sample management process.

Key Responsibilities:
  • Communicate sample availability with external stakeholders and manage logistics of packing and shipping for press.
  • Organize domestic and international shipments/logistics ensuring secure and timely pick-ups and drop-offs.
  • Respond promptly to VIP sample requests from the London Showroom including packing, unpacking and dispatching from the London showroom.
  • Curate shipping information for collection shipments and collaborate with logistics providers to arrange sample shipments, ensuring timely and secure delivery.
  • Assure samples' availability across all Safiyaa locations and ship when required.
  • Organize sample sets requested by the wholesale or private client team for trunk shows and events.
  • Assist in packaging, ensuring accurate labeling, sealing, and boxing according to Safiyaa branding standards.
Shoot Coordination:
  1. Book the courier once the shoot date is confirmed and manage collection transfers to and from the shoot.
  2. Be present at the shoot and help manage the sample rail as needed.
  3. Oversee the sample set and assist in labeling and packing the shoot wardrobe with necessary styling pieces.
  4. Assist in preparing pre-shoot documentation, sample lists, and labeling the collection.
  5. Post-shoot, create the intercompany shipment list and assist in packing and sending the new collection to London and New York for market week, as scheduled.
Event Coordination:
  1. Work with Brand Ambassadors to facilitate and organize events, predominantly in London HQ, but also in other UK and international locations as needed.
  2. For international events, prepare shipment dates and movement of all brand collateral, including rails, packaging, samples, and stock.
