Workshop Administrator Job Description

We are seeking a highly organized and detail-oriented Workshop Administrator to join our team at Workforce Staffing Ltd. As a key member of our workshop team, you will be responsible for providing administrative support to ensure the smooth operation of our workshop.

Key Responsibilities:

  • Attend daily meetings with the team to discuss outstanding inspections and tasks.
  • Update the Depot DOR report daily to ensure accurate records.
  • Send daily VOR reports and Off-Roads to relevant teams.
  • Attend daily DOR meetings when the garage manager is unavailable.
  • Scan and upload paperwork to Sharepoint, and file originals in relevant files.
  • Update the Outstanding inspection/Mot and HET checks Teams sheets.
  • Email relevant garages with completed Trailer inspection paperwork.
  • Update the Defect log, including ACCI costs and tabs.
  • Monitor costs and spend against budget, ensuring accuracy with DOR figures.
  • Update the Digital maintenance planner, including Mot, Road tax, Tacho, Loler, F Gas, and fridge expiry dates.
  • Ensure wheel torque folders are up-to-date, both paper and electronic.
  • Book and plan Mot tests, flat across the weeks and months.
  • Plan and book next week's work with the Co-ordinator, and inform transport accordingly.
  • Liaise with the Co-ordinator for part ordering and stock checks, coding correctly and raising P/O's.
  • Liaise with the transport department to ensure asset requirements are met.
  • Ensure all legal obligations are met, including Health & Safety and environmental.
  • Attend Health and Safety monthly meetings when the garage manager is unavailable.
  • Approve invoices, checking amounts against budgets and challenging high costs.
  • Ensure all Hire vehicles with R+M are serviced/Mot'd and with the correct service provider.
  • Ensure all 3rd party related work is captured and charged back.
  • Ensure contractors sign in and permits are raised.
  • Ensure all waste is on file, including fridge gas usage.

Requirements:

  • Excellent attention to detail and first-rate organization skills.
  • A practical ability to understand information and good IT/PC literacy, especially in MS Office, Excel, and Outlook.
  • Adaptability in a fast-paced office setting.
