Job Title: Case Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Case Administrator to join our team in the Community Integration Function. As a Case Administrator, you will provide administrative support to our staff and individuals on probation, ensuring efficient processes and maintaining accurate records.

Key Responsibilities:

  1. Set up and maintain accurate people on probation and victim information on relevant databases.
  2. Ensure effective administration of referrals to and relationships between offender management, victims, interventions, service providers, and external agencies.
  3. Prepare, maintain, and collate case and other records, files, and management information.
  4. Receive and distribute information and communications in an appropriate manner.
  5. Provide cover for an effective and efficient reception and telephone enquiry service.
  6. Act as a single point of contact within the unit for specialist areas of work.
  7. Deal fairly and effectively with individuals on probation, some of whom may be in crisis or display aggressive behavior.
  8. Make practical arrangements for the implementation of sentence plans.
  9. Carry out enforcement administration as required.
  10. Organize the availability of equipment, materials, and facilities for case management activities.
  11. Report faulty equipment and materials to the manager and arrange for replacement or repair.
  12. Maintain systems to ensure effective use of general unit resources and make recommendations for improvement.
  13. Undertake specific Visor administration tasks in accordance with procedures.
  14. Attend meetings as appropriate and provide support, including organizing agendas, taking notes, and distributing minutes and action points.
  15. Ensure all activities are conducted in accordance with Health and Safety policies and procedures.
  16. Provide cover within the unit and to other units as required.
  17. Carry out safeguarding children duties in accordance with statutory responsibilities and agency policies.
  18. Demonstrate pro-social modeling skills and reinforce positive behavior.

Requirements:

  • Ability to use databases and proficiency in MS Office Word and basic skills in Excel.
  • Strong communication skills and ability to communicate effectively with a wide range of individuals.
  • Use and work on own initiative.

Working Arrangements:

The Ministry of Justice offers Hybrid Working arrangements where business need allows. This role can be worked in the UK and not overseas. Standard full-time working hours are 37 hours per week excluding breaks. HMPPS welcomes part-time, flexible, and job-sharing working patterns.
