About the Role

The Ophthalmology Department at Worcestershire Acute Hospitals NHS Trust is seeking a highly organized and detail-oriented Reception and Administrative Assistant to join our team. As a key member of our department, you will be responsible for providing exceptional administrative support to our clinical staff and patients.

Key Responsibilities

  • Provide administrative support to the Ophthalmology Department, including reception duties, appointment booking, and data entry.
  • Ensure accurate and timely processing of patient information, including demographics and appointment outcomes.
  • Monitor and manage outpatient waiting lists, ensuring timely follow-up appointments and effective communication with patients and clinical staff.
  • Respond to patient inquiries and complaints in a professional and courteous manner, escalating issues to team leaders or nurses as necessary.
  • Collaborate with clinical staff to ensure seamless communication and coordination of patient care.
  • Maintain accurate and up-to-date records, including patient casenote packs and clinic lists.
  • Perform other administrative tasks as required, including data validation, reporting, and training.

Requirements

  • Good communication and interpersonal skills, with the ability to work effectively with patients, clinical staff, and other stakeholders.
  • Comprehensive IT skills, including experience with patient administration systems (PAS) and other relevant software.
  • Ability to work accurately and efficiently in a fast-paced environment, with a high level of attention to detail.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Previous experience in an administrative role, preferably in a healthcare setting.
