Job Description
We are seeking an Administrative Assistant - Training to join our team at ROSE & YOUNG RECRUITMENT LTD. As a key member of our operations team, you will be responsible for ensuring the smooth delivery of training programs.
Key Responsibilities:
- First point of contact for telephone enquiries.
- Managing the training and enquiries inboxes and dealing with related emails.
- Coordinate training course bookings from enquiry through to post-course care.
- Promote membership when discussing training and associated benefits.
- Maintain accurate records in our database/CRM system.
- Process applications, chase payments, and send out confirmation and certificates.
- Co-ordinate dates for exams, booking tutors, issuing certificates, and chasing up where exam modules need to be re-taken.
- Act as DBS Counter signatory, checking IDs and completed paperwork, updating DBS recording system.
- Chase data, VAT numbers, payments, and send emails.
- Raise training-related invoices, credit notes, and purchase invoices using Xero.
- Assist with supplier payment runs and monthly credit card reconciliations.
- Chase outstanding member subscriptions and process online card payments.
Person Specification:
- SIGNIFICANT ADMINISTRATIVE EXPERIENCE.
- GOOD COMPUTER SKILLS AND KNOWLEDGE OF WORD, EXCEL, AND OUTLOOK.
- EXPERIENCE WORKING WITH DATABASES/CRM SYSTEMS.
- EXPERIENCE DEALING WITH CUSTOMERS CONSTANTLY VIA ALL MEDIA (PHONE, EMAIL, LETTER).
Estimated Salary: £24,000 - £24,500 per annum + benefits
