About the Role

We are seeking an experienced Administrative Manager to join our team at Priory Group.

Job Description
  • Oversight of administrative operations, ensuring efficiency and effectiveness in diary management, billing, patient records, and other key aspects.
  • Coordination of referrals and maintenance of waiting lists, with regular updates on Salesforce requirements.
  • Comprehensive knowledge of complaint procedures and prompt response to client concerns.

The ideal candidate will possess excellent communication skills, both written and verbal, and a strong understanding of customer service principles. They will be educated to GCSE level (Grades A-C) or equivalent, with intermediate proficiency in office applications.

Key Responsibilities
  1. Diary Management: Coordinate dates, times, rooms, and appointments efficiently, prioritizing tasks and ensuring effective scheduling.
  2. Referral Coordination: Manage referrals, update waiting lists, and maintain accurate records on Salesforce.
  3. Complaint Handling: Respond promptly to client complaints, adhering to established procedures.
  4. Patient Information Management: Maintain accurate and up-to-date patient information within the centre.
  5. Supervision and Training: Supervise and train administrative staff, ensuring compliance with company policies and procedures.
  6. Data Analysis and Reporting: Collect and analyze data from various sources, producing reports and statutory returns that meet quality standards.
  7. Clinic Administration: Provide a comprehensive administrative service, liaising with clients and responding to queries and complaints.
  8. Communication and Liaison: Respond to external and internal communications, prioritizing accordingly and ensuring relevant individuals are involved/informed.
  9. Maintenance of Records: Ensure timely and accurate updating of computerized databases and paper filing systems.
  10. Billing and Debt Management: Oversee billing processes, monitor debt, track financial transactions, and process payments.
  11. Supply Ordering and Procurement: Order clinic supplies, stationery, and use purchase orders to raise invoices.
  12. Docusign Management: Ensure patients have completed consent forms using Docusign.
  13. Consultant Appointments: Add consultant letters to carenotes according to Priory Policy.
  14. Appointment Support: Assist therapists in making/changing/cancelling appointments in Salesforce.
  15. Email Management: Manage centre inbox emails and respond as necessary.
  16. Patient File Management: Complete letters and correspondence in a timely manner.
  17. Feedback Collection: Encourage patients to complete doctify reviews and/or therapy services questionnaires.
