Job Summary:

We are seeking an experienced Executive Assistant to provide administrative support to the Hospital Director and Senior Management Team at Spire South Bank Hospital. The ideal candidate will have a proven track record of holding a similar position and possess excellent organizational skills, the ability to manage time well, prioritize workload, and meet deadlines.

Key Responsibilities:

  • Coordinate the Hospital Director's office, achieving high standards in terms of efficiency, presentation, and customer care.
  • Organize the Hospital Director's electronic diary and communications in line with priorities, deadlines, and personal commitments.
  • Assist in organizing the daily schedule of the Hospital Director, ensuring files and documents are available and up-to-date.
  • Deal with a wide range of telephone enquiries and assist where appropriate.
  • Prepare agendas/papers for meetings, including production of minutes.
  • Attend meetings as required and provide administrative support to the Hospital Director and Senior Management Team.
  • Arrange routine and ad-hoc meetings, briefings, and hospital events.
  • Ensure business and financial information is stored, maintained, and retrieved in a systematic, secure, efficient, and confidential manner.
  • Produce itineraries for visits by Senior/Head Office personnel, VIPs, and other visitors.

Requirements:

  • Proven track record of holding a similar position.
  • Computer literate.
  • Accurate, fast typing skills.
  • Strong interpersonal skills with the ability to communicate effectively at all levels.
  • Good written, verbal communication, and interpersonal skills.
  • Excellent organizational skills, the ability to manage time well, prioritize workload, and meet deadlines.
  • Flexible and proactive approach to work.
  • At all times maintain complete trust, loyalty, confidentiality, and discretion.
  • Understanding of the importance of, and respect for confidential information, underpinned by an understanding of the Data Protection Act.

Working Arrangements:

  • 30 or 37.5 hours per week available.
  • Based onsite at Spire South Bank Hospital.
  • Working predominantly Monday - Friday 09.00 - 17.00 (occasional evenings may be required).
