Job Summary:

We are seeking an experienced Executive Assistant to provide high-level administrative support to the Hospital Director and Senior Management Team at Spire South Bank Hospital.

About the Role:

  • Coordinate the Hospital Director's office, ensuring efficient and effective communication and dissemination of business developments and clinically targeted information.
  • Organize the Hospital Director's electronic diary and communications, providing relevant back-up material and ensuring files and documents are up-to-date.
  • Assist in organizing the daily schedule of the Hospital Director, including travel arrangements and ensuring the Director of Clinical Services is briefed on the day's activities.
  • Deal with a wide range of telephone enquiries and assist where appropriate.
  • Prepare agendas/papers for meetings, including production of minutes, and attend meetings as required.
  • Assist the Hospital Director and SMT in establishing and maintaining good relations with Head Office personnel and Consultants.
  • Arrange routine and ad-hoc meetings, briefings, and hospital events, preparing necessary agendas, reports, minutes, and overheads.
  • Ensure business and financial information is stored, maintained, and retrieved in a systematic, secure, efficient, and confidential manner.
  • Produce itineraries for visits by Senior/Head Office personnel, VIPs, and other visitors, ensuring arrangements, catering, and transport are of the correct standard.

Requirements:

  • Proven track record of holding a similar position.
  • Computer literate.
  • Accurate, fast typing skills.
  • Strong interpersonal skills with the ability to communicate effectively at all levels, offering support and advice where needed.
  • Good written, verbal communication, and interpersonal skills.
  • Excellent organizational skills, with the ability to manage time well, prioritize workload, and meet deadlines.
  • Flexible and proactive approach to work.
  • At all times maintain complete trust, loyalty, confidentiality, and discretion.
  • Understanding of the importance of, and respect for, confidential information, underpinned by an understanding of the Data Protection Act.
