The Traffic Office Administrator is a vital position at Preston VOC, supporting a safe, efficient, and cost-effective fleet. As a key member of the team, you will play a crucial role in ensuring the Distribution Management System is up-to-date and data is correctly input daily. You will also be responsible for ensuring Isotrak, Business Asset Tracker, and Vision FTA systems are kept up-to-date and data is correctly input daily to comply with European Legislation.

Key Responsibilities

  • Ensure the Distribution Management System is kept up-to-date and data is correctly input daily.
  • Ensure Isotrak, Business Asset Tracker, and Vision FTA systems are kept up-to-date and data is correctly input daily.
  • Issue vehicle keys and logbooks in line with Royal Mail standards.
  • Ensure digital tacho cards are downloaded in line with Royal Mail policy.
  • Daily debrief with all drivers, resolving any issues and passing on to the shift manager.
  • Ensure planned maintenance is carried out for vehicles and the maintenance board and vehicle files are kept up-to-date.

Requirements

  • Organised, independent, and self-motivated.
  • Knowledge of safety and legal requirements, including drivers' hours legislation, vehicle checks, Safe Systems of Work, risk assessments, and accident investigation.
  • Industry experience and working knowledge of the mail and parcel operation preferred.
  • Computer literate with good numeracy and literacy skills, and good knowledge of Microsoft Excel and Word.
  • Able to input data to set deadlines while maintaining confidentiality at all times.
