Job Summary

Gama Aviation LLC is seeking a highly skilled Facilities and Security Manager to join our team in Scotland. As a key member of our operations team, you will be responsible for the safe, efficient, and secure running of our facilities in Aberdeen, Inverness, and Glasgow.

Key Responsibilities
  • Facilities Management:
    • Support facilities projects, including office moves, building changes, and refurbishment projects.
    • Be the primary point of contact for building and maintenance issues.
    • Plan and coordinate third-party contractors to ensure maintenance of facilities, ensuring properties are fit for purpose and compliant with regulations.
    • Provide induction training for new starters and contractors.
    • Proactively manage building faults and continuous improvement.
    • Coordinate emergency repairs as necessary.
    • Produce and compile request for quotes (RFQs) and conduct due diligence on suppliers.
    • Manage plant and equipment, including maintenance, repair, and routine checks.
    • Record and enact facilities requests, from capital expenditures to daily maintenance.
    • Ensure the serviceability of all facilities vital systems.
    • Plan work tasks, including costs and schedules.
    • Maintain compliance with necessary standards, such as electrical inspections.
    • Effectively manage sub-contractors, ensuring KPIs for response and call-out times are met.
    • Ensure the continued function, presentation, and legal compliance of facilities.
  • Security Management:
    • Administer the company ID pass security system and act as a qualified Authorized Signatory.
    • Ensure compliance with AGS and HIAL airports Aviation Security protocols.
    • Manage the security infrastructure, including access control, CCTV, alarms, and procedures for key and document storage. Conduct internal and external audits.
  • Ground Handling Management:
    • Supervise and direct Ground handlers on duty during assigned shifts to deliver a safe, efficient, and positive customer experience in accordance with published company procedures and relevant regulations.
    • Ensure the correct issue and receipt of aviation-grade fuels to aircraft and record these transactions correctly.
    • Maintain records and plan training events for Ground Handling personnel in the region, in accordance with the Regional Ground Handling Procedures Manual.
    • Direct aircraft towing activities as required and ensure routine and ad-hoc apron foreign object inspections are conducted.
    • Coordinate all operational tasks associated with handling third-party aircraft and oversee the transportation of clients and third parties as required.
    • Comply with the processes, policies, and procedures incorporated in the Ground Handling Procedures Manual to handle company and third-party aircraft.
    • Administer the company audit program as per schedule incorporated in the Ground Handling Procedures Manual.
    Requirements
    • Essential:
      • Experience in a facilities/security management position, with strong knowledge of building systems, maintenance, and operations.
      • A passion for service delivery with knowledge of working in a highly regulated industry.
      • Competency with Microsoft applications, including Word, Excel, and PowerPoint.
      • Excellent communication skills with a range of audiences, including management.
      • Ability to work independently without supervision.
      • Excellent organizational and time management skills.
      • Flexibility and a 'can-do' attitude to cover a variety of tasks.
      • Demonstrates initiative and behaves professionally.
      • Highly organized and able to prioritize.
      • Willingness to travel to Aberdeen and Inverness facilities as required, with overnight stays when necessary.
    • Advantageous:
      • Previous experience in facilities management within the Aviation sector.
      • Good working knowledge of the appropriate HSE requirements for safe facilities management.
