About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. As an integral part of our operations, you will be responsible for providing administrative support to our staff and ensuring the smooth day-to-day functioning of our office.

Key Responsibilities:
  • Assist with staff consultation and grievance procedures
  • Coordinate the flow of information within the team
  • Direct and control daily operations
  • Open and distribute mail and other materials
  • Plan and organize daily operations
  • Establish and implement policies and procedures
  • Record and prepare minutes of meetings, seminars and conferences
  • Schedule and confirm appointments
  • Manage contracts
  • Answer telephone and relay telephone calls and messages
  • Compile data, statistics and other information
  • Order office supplies and maintain inventory
  • Arrange travel, related itineraries and make reservations
  • Greet people and direct them to contacts or service areas
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms and other documents
Requirements:
  • Experience: 7 months to less than 1 year
  • Ability to work independently in a fast-paced environment
  • Excellent organizational and time management skills
  • Proficient in MS Outlook, MS Windows, MS Office, Adobe Acrobat Reader, and Google Drive
  • Certification in Basic Security Clearance and willingness to undergo a criminal record check
  • Willingness to travel regularly
