Administrative Support Specialist

This role is responsible for providing administrative support to all AEIL teams and cooperating on assigned tasks. The successful candidate will provide clerical assistance for senior managers, including managing their calendar, and will be the main business partner for travel agencies, travelers, and travel-related suppliers.

Key Responsibilities:

  • Manage daily administrative tasks for the AEIL team, including filtering and distributing internal and external emails and correspondence, editing documents, meeting guests, preparing expenses, making reservations, and supporting the organization of internal and external meetings and company events.
  • Provide clerical assistance for senior managers, including ensuring travel and accommodation arrangements, preparing business travel claims and expense reports, and providing support with invoices, orders, attendance, cash/card balance, and document signatures.
  • Drive communication between the travel agency and AEI travelers, set up, control, and check SLAs with travel agencies, and proactively analyze processes, spend, and tools to propose improvements and a user-friendly approach.
  • Promote professional behavior in the workplace, keep all information confidential, and ensure that outputs are prioritized and completed according to customer requirements.

Qualification Criteria:

  • Secondary school education as a minimum
  • Relevant knowledge and experience in the Assistants role and of administration duties
  • Travel Management experience is an advantage
  • Proficiency in English
  • Strong organizational skills
  • Good PC knowledge (MS office, Concur)
  • Minimum 3 years' experience in an international company
  • Driving license B is an advantage
