NHS Professionals Limited is on the lookout for a meticulous and proactive Part-time Healthcare Administrative Coordinator to enhance our team. In this position, you will deliver vital administrative assistance to our medical personnel, facilitating the seamless functioning of our healthcare operations.
Key Responsibilities
Your role will encompass a variety of tasks, including:
- Assisting in the preparation of reports, drafting letters and correspondence, including transcribing from digital dictation as necessary, and ensuring timely entry of patient data into relevant systems.
- Managing multiple inboxes efficiently.
- Handling telephone communications, taking messages, and addressing inquiries.
- Recording and producing minutes from meetings and following up on action items.
- Utilizing Microsoft Office applications such as Word, Excel, Teams, and Outlook as required.
- Supporting the supervision, mentoring, and training of Junior Administrators within the team.
- Assisting with reception duties for outpatient services when needed.
- Monitoring and ordering office supplies to maintain adequate stock levels.
- Coordinating with the Estates Department for repairs and ensuring satisfactory completion of work.
- Maintaining tidy and updated notice boards, adding relevant information for staff.
- Performing additional tasks as assigned by the Office Manager to enhance the quality of service provided by the team.
- Aiding in the development of documentation for new procedures.
- Keeping the Trust's policies, procedures, and fire safety documentation current.
Required Knowledge and Skills
Essential Qualifications
- Proven experience in administration.
- Familiarity with the NHS environment.
- Strong telephone and communication abilities.
- Knowledge of systems such as Rio, Bighand, and Docman, along with prior secretarial experience.
