Administrative Support Professional – Maternity Cover

Job Summary: We are seeking an experienced Office Manager to cover a maternity leave on a part-time basis. As the principal point of contact for the office, you will be responsible for handling inbound calls, emails, and visitors, as well as providing administrative support to the team.
About the Role: This is a 12-month contract, working 25-35 hours per week, Monday to Friday. You will be the first point of contact for the office, meeting and greeting visitors, handling inbound calls, and monitoring email enquiries and mail. Your responsibilities will also include providing administrative support to the team, diary management, and maintaining the office records.
Responsibilities:
- Act as the first point of contact for the office, meet and greet visitors, handle inbound calls and monitor inbound email enquiries and mail.
- Provide administrative support to the team as and when it is needed, including preparing for meetings/events and arranging catering/refreshments.
- Diary management – organise and maintain senior team diaries, and meeting room bookings.
- Maintain the external archive and storage records and interactions with the outsourced provider.
- Arrange travel and accommodation.
- Organise events such as drinks, lunches, and dinners as and when required.
- Take ownership of keeping the office tidy and in order, plus other general office duties.
- Maintenance duties including ordering of office supplies and office filing systems.
- Manage our external building partnerships including our cleaners, facilities suppliers, caterers and liaising with our landlord's agent.
- Maintain the internal CRM system and support with other ad hoc projects.
Requirements:
- Office administration or office management experience.
- Advanced MS Office skills, particularly Outlook, Windows, Word, PowerPoint, and Excel.
- Self-driven, enthusiastic, proactive, and reliable with good organisational skills.
- Able to build strong relationships with the team, you must be a team player and work collaboratively with the team and other colleagues.
- Excellent interpersonal and communication skills.
- Excellent attention to detail and accuracy.
- Ability to work in a fast-paced environment, prioritise, and work to deadlines.
- Professional and able to maintain confidentiality and discretion.
