About the Role

We are seeking a highly organized and detail-oriented Refrigeration Project Coordinator to join our team at Integral UK. As a key member of our projects department, you will provide administrative support to project managers and design engineers, ensuring seamless execution of refrigeration projects.

This is a full-time permanent position working 37.5 hours per week between 09:00 and 17:00 Monday to Friday. The successful candidate will have the option to work from home up to two days a week.

The main duties and responsibilities of this role include:

  • Providing administration and coordination support to project managers and design engineers.
  • Processing contract management forms in accordance with Integral's compliance procedures.
  • Liaising with project managers on delivery and installation of projects.
  • Taking responsibility for raising purchase orders and sub-contract agreements.
  • Raising sales invoices and applications to customers upon completion of works.
  • Liaising directly with suppliers and sub-contractors on deliveries and installations.
  • Producing O&M manuals, H&S manuals, site files, and assisting with the handover process as required.
  • Updating and maintaining enquiry log and contract tracker documents daily.
  • Booking hotels for engineers and project managers and processing timesheets weekly.
  • Maintaining contract files for each project and ensuring drawings, designs, quotations, etc. are correctly filed and archived.
  • Carrying out head office administration tasks as required and day-to-day functions as requested by your line manager.
  • Processing credit notes.
  • Project financial reporting in line with project managers' weekly project reports and monthly customer profitability reports and margin deviation.

Key Qualifications and Experience:

  • GCSEs or equivalent in Maths, English, and ICT.
  • Knowledge of Microsoft Office/Project or similar and familiarity with Adobe Acrobat or similar.
  • Experience working in a project support role and/or project services/installation business.
  • Good communication levels and ability to build relationships with key personnel and customers.
  • Excellent team working skills.
  • Financial awareness.
  • In-depth understanding of end-to-end project processes and associated activities.
  • Proven track record of success.
  • Flexible and proactive with ability to work under own initiative, high energy, assertiveness, and creativity.
  • Excellent management skills and strong organisational capability.
  • Commitment to collaboration and teamwork.
  • Ability to work to tight deadlines, manage multiple projects, and work under pressure.
  • Strong Microsoft Word, PowerPoint, and Excel skills.
  • Excellent written and oral English.
