Fleet Administrator Job Description

As a Fleet Administrator, you will play a crucial role in ensuring the efficient and cost-effective operation of a company's fleet of vehicles. This position involves coordinating vehicle maintenance, repairs, and fuel management, as well as ensuring compliance with vehicle safety regulations and standards.

Key Responsibilities:
  • Schedule and Coordinate Vehicle Maintenance: Plan and execute vehicle maintenance schedules to minimize downtime and ensure vehicles are roadworthy.
  • Track and Manage Maintenance Costs: Monitor and analyze maintenance costs to identify areas for improvement and optimize fleet efficiency.
  • Ensure Compliance with Vehicle Safety Regulations: Verify that all vehicles meet regulatory requirements and implement measures to maintain compliance.
  • Monitor Fuel Consumption and Costs: Track fuel usage and costs to identify opportunities for fuel savings and implement strategies to reduce consumption.
  • Implement Fuel-Saving Strategies: Develop and implement plans to reduce fuel consumption and lower costs.
  • Manage Fuel Cards and Fuel Records: Oversee fuel card management and maintain accurate records of fuel usage.
  • Coordinate Driver Training and Compliance: Arrange and monitor driver training and ensure compliance with driving regulations.
  • Track Driver Performance and Conduct Performance Reviews: Monitor driver performance and conduct regular reviews to identify areas for improvement.
  • Manage Driver Records and Documentation: Maintain accurate records of driver information and documentation.
  • Analyze Fleet Usage Data: Examine fleet usage data to identify areas for improvement and optimize fleet efficiency.
  • Implement Strategies to Reduce Fleet Costs and Improve Efficiency: Develop and implement plans to reduce fleet costs and improve efficiency.
  • Manage Relationships with Vehicle Suppliers, Maintenance Providers, and Fuel Suppliers: Build and maintain relationships with suppliers to ensure optimal pricing and service.
  • Prepare and Analyze Fleet Performance Reports: Generate and analyze reports to track fleet performance and identify areas for improvement.
Additional Skills (Preferred):
  • Bachelor's Degree in Transportation Management, Logistics, or a Related Field: A degree in a relevant field is preferred, but not required.
  • Knowledge of Vehicle Maintenance and Repair Procedures: Familiarity with vehicle maintenance and repair procedures is essential.
  • Certification in Fleet Management or Logistics: Certification in fleet management or logistics is preferred.
Qualifications:
  • Minimum of 3 Years of Experience in Fleet Management or a Similar Role: A minimum of 3 years of experience in fleet management or a similar role is required.
  • Strong Organizational and Time Management Skills: Excellent organizational and time management skills are essential.
  • Proficiency in Microsoft Office Suite and Fleet Management Software: Proficiency in Microsoft Office Suite and fleet management software is required.
  • Excellent Communication and Interpersonal Skills: Excellent communication and interpersonal skills are essential for success in this role.
  • Valid Driving Licence: A valid driving license is required.
