We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in Penarth.

About the Role

This is an exciting opportunity for someone with a strong interest in the financial services sector to begin their career or make a career change. You will work closely with senior paraplanners and financial advisers to support existing clients and assist in the process of taking on new clients.

Key Responsibilities
  1. Provide exceptional aftercare to all existing clients;
  2. Support advisers with information requests as needed;
  3. Organize and manage campaigns throughout the year to ensure relevant allowances are used;
  4. Assist with top-ups, transfers, and withdrawals;
  5. Manage client annual review process;
  6. Send quarterly valuation reports to all clients;
Data Processing
  1. Input and update client information into the CRM system;
  2. Generate reports to monitor company performance;
  3. Develop CRM processes to improve overall efficiency;
  4. Utilize mail merges to contact clients for unused allowances and annual review reminders;
Additional Tasks
  1. Maintain Continuous Professional Development (CPD) by attending seminars and completing exams;
  2. Internal and external file checks; submit files to review from advisers to compliance desk and go through comments with them; review previous files to ensure all required documents are present;
  3. Stay up-to-date with industry regulations using our compliance help desk;
Requirements

A degree-level education or equivalent experience working in an office environment is essential. We require individuals with:

  1. Excellent written communication skills;
  2. Engaging and professional telephone manner;
  3. Strong time management and multitasking abilities;
  4. A systematic approach to tasks;
  5. Advanced IT literacy, including Microsoft Word and Excel proficiency;
  6. A hardworking and positive attitude;
  7. Good teamwork skills;
