Our client is seeking a skilled Procurement Coordinator to support the Procurement and Office Manager. The successful candidate will be responsible for administrative functions related to fulfilling orders from clients.

Key Responsibilities:

  • Expertise and Skills:
    • Procurement of IT products and services tailored to client needs, including devices, peripherals, consumables, training, and consultancy services.
    • Strong numerical aptitude.
    • Attention to detail and accuracy.
    • Proficient in Microsoft Office, especially Excel.
    • Experience with ServiceNow.
    • Exceptional written and verbal communication skills.
  • Operational Duties:
    • Processing orders efficiently.
    • Supporting account-specific tasks for the on-site procurement team.
    • Providing estimated times of arrival (ETAs) and updates for orders through ServiceNow.
    • Managing overdue orders and communicating updates as necessary.
    • Participating in internal procurement meetings as required.
    • Ensuring orders exceeding £10K are processed correctly, excluding auto billing, and that purchase orders are sent to relevant contacts.
    • Demonstrating procurement expertise using available tools and processes.
    • Handling customer tooling activities, including invoice queries and requests for quotes.
    • Managing all procurement activities through ServiceNow and the client's systems.
    • Conducting system checks and updates.
    • Understanding the end-to-end supply chain lifecycle.
    • Assisting with amendments to the service catalog and maintaining positive relationships with providers.
    • Managing the mailbox for invoicing queries and digital filing.
    • Addressing end-user service queries and escalations.
    • Coordinating home deliveries and collections.
    • Supporting cost recovery efforts.
    • Processing purchase orders received from local help points.
    • Acting as a point of escalation for issues.
    • Handling ad-hoc requests and tasks.
    • Managing all business-as-usual hardware procurement orders.
    • Raising orders and providing ETAs.
    • Administering aged orders (those over 45 days).
    • Assisting in procuring items for various projects and programs.
