Client Services Associate (Support for Financial Planning)

Role Location

This position is available in our Glasgow or Edinburgh offices.

Position Overview

As a Support Specialist for Financial Planning, you will assist the Financial Planning Team in achieving its goals of acquiring new clients and delivering exceptional service. Your responsibilities will include managing workflow from a client-facing perspective and aiding planners in fostering and maintaining strong client relationships.

Key Responsibilities

  • Maintain accurate records and information on our management system to facilitate work tracking and ensure internal records are current.
  • Ensure that files and records are organized according to internal standards for efficient access and retrieval.
  • Follow established processes by documenting activities in the back office system and providing clear instructions when delegating tasks to colleagues.
  • Set up new prospects and opportunities in our CRM system, ensuring timely and accurate data entry.
  • Coordinate client meetings, prepare agendas, and conduct necessary research on technical and product-related topics, including fund performance.
  • After client meetings, distribute meeting notes, communicate with clients regarding necessary paperwork, and complete follow-up actions.
  • Prepare and send engagement documentation.
  • Maintain records for annual reviews.
  • Ensure the accurate submission of new applications in line with internal and regulatory standards through effective communication and record management.
  • Keep precise data on Funds Under Management.
  • Monitor the current pipeline and track all cases to completion to manage expected income.

Required Skills and Experience

  • Experience in the Financial Advice sector or IFA industry.
  • Strong verbal and written communication skills.
  • Proficient in IT applications.
  • Able to meet deadlines consistently.
  • Capable of adhering to defined business processes.
  • Flexible and adaptable to changing priorities.
  • Proactively seeks opportunities for personal skill development.
