Event Coordination Assistant

Position Overview
The James Hutton Institute is at the forefront of addressing critical global challenges, including climate change and food security. Our Communications Team plays a vital role in promoting our initiatives through various channels, including media, marketing, and events.
This role focuses on providing essential support for our summer agricultural events. The primary responsibility is to assist the events team with logistics, including setting up and dismantling event setups. Candidates should be prepared for physical tasks associated with this role.
Key Responsibilities
- Assist in managing and organizing event equipment, ensuring proper maintenance and inventory control.
- Participate in the setup and breakdown of equipment for events.
- Support event operations by managing reception areas and performing various tasks to ensure smooth execution.
- Collaborate with the communications team on a diverse range of events, from small meetings to larger outdoor activities.
- Provide logistical and administrative assistance to Events Managers.
- Coordinate with service providers to ensure all event needs are met.
- Attend meetings, document discussions, and serve as a secondary point of contact.
- Handle various tasks during events, such as managing attendee lists and guiding exhibitors.
- Deliver onsite support at all events, including preparation and post-event activities.
Qualifications and Skills
Essential Qualifications
- This position is ideal for individuals pursuing a related degree or seeking to gain experience in event management.
Essential Skills
- Willingness to engage in manual tasks associated with event setup and teardown.
- Strong written and verbal communication abilities.
- Effective organizational skills, with the ability to prioritize tasks and meet deadlines.
- Attention to detail and accuracy in all aspects of work.
- Creative, proactive, and adaptable to changing circumstances.
- Ability to work collaboratively in a team and independently when necessary.
- Proficient in Microsoft Office applications.
- Personable and capable of engaging positively with a diverse range of individuals.
- Understanding of timelines, venue requirements, supplier coordination, and health and safety regulations.
- Possession of a full, clean UK driving license.
Desirable Skills
- Experience in managing events of varying sizes and formats.
- Familiarity with agricultural events.
