Position Overview

We are pleased to announce an opportunity for a dedicated and proactive Pathway Coordinator to join our esteemed Medicine Division at West Hertfordshire Teaching Hospitals NHS Trust. This role emphasizes the management of patient pathways, focusing on both insourcing and outsourcing processes.

The successful candidate will collaborate closely with a variety of stakeholders, including Medicine consultants, the Pathway Coordinator team, management, booking personnel, nursing staff, and other clinical and administrative colleagues, as well as external partners.

Key Responsibilities

The primary responsibility of this role is to deliver a thorough and effective pathway coordination service to designated Rheumatology and Dermatology consultants and Registrars, with a particular emphasis on the management of outsourcing and insourcing activities.

The Pathway Coordinator will engage with consultants and their teams, ensuring seamless communication and coordination within the medical departments.

This position may require working across multiple sites.

Role Responsibilities

- Schedule outpatient appointments and ensure patients are informed of their appointment details as necessary.

- Arrange virtual consultations for consultants to review patient test results, providing all pertinent information required.

- Accurately format and distribute clinic correspondence, ensuring timely action on important clinical communications.

- Proactively check consultant schedules to identify and resolve any appointment conflicts.

- Collaborate with the Outpatient Pathway Coordinator to ensure all patient referrals are triaged and appointments are arranged as needed.

- Provide support during the absence of the Outpatient Pathway Coordinator, including managing referrals and following up on outcomes.

- Communicate effectively with relevant teams regarding patient tests and procedures.

- Manage clinic cancellations and reschedule appointments for affected patients.

- Handle patient communications with empathy and professionalism, particularly in sensitive situations.

- Coordinate with colleagues from various departments and external healthcare providers.

- Oversee the management of the inbox as required, ensuring timely distribution of communications.

- Perform general administrative tasks, including filing, photocopying, and responding to queries.

- Assist with the workload of other secretarial staff as necessary.

- Ensure all patients are checked in and out following their outpatient visits.

- Validate patient pathways and ensure all clinician requests are completed.

- Maintain and update relevant tracking systems as required.

Qualifications and Skills

Essential

  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Minimum of 4 GCSEs (C grade or above) or equivalent qualifications.

Desirable

  • AMSPAR certification.
  • RSA Stage 3 typing or equivalent qualification.

Knowledge and Experience

Essential

  • Familiarity with best practices in the secretarial and administrative field.
  • Understanding of Health and Safety regulations in the workplace.
  • Awareness of confidentiality and data protection standards.
  • Proficient in medical terminology and audio typing.

Desirable

  • Knowledge of NHS policies and procedures.
  • Understanding of the 18-week patient pathway process.
  • Familiarity with a range of specialty procedures and practices.

Experience

Essential

  • Previous experience in a medical secretarial role.
  • Significant experience in a similar administrative capacity.
  • Proficiency in audio typing and medical terminology.

Desirable

  • Experience in an acute hospital environment.
