Position Overview

This role encompasses the oversight of the outpatient department's reception teams and the administration of service operations.

Main Responsibilities

  • Provide primary management for designated members of the reception team, ensuring adequate staffing levels and managing absences to meet daily operational goals.
  • Deliver a courteous and supportive service to staff, colleagues, clinicians, patients, and other department users, ensuring quality standards are consistently met.
  • Ensure adherence to reception protocols to facilitate accurate revenue collection, completion of timely RTT, appointment scheduling, and transport arrangements for all relevant clinics.
  • Support and ensure all team members complete mandatory and departmental training, as well as conduct Personal Performance Reviews with direct reports.
  • Facilitate effective two-way communication with the team and Outpatient Service Support Manager, organizing meetings as necessary.
  • Manage team and personal workload to meet challenging deadlines, escalating any identified or anticipated issues.

Essential Qualifications

  • 3 GCSEs or equivalent at Grade C or above, including English and Maths.

Skills and Abilities

  • Strong communication skills across all levels, including written, telephone, and face-to-face interactions.
  • Good understanding of the Referral to Treatment - 18-week pathway.

Experience

  • Prior experience in staff supervision or line management, or relevant training experience.
  • Desirable: Experience in conducting appraisals, setting objectives, and staff development.
