Position Overview

We are pleased to announce an opportunity for a part-time Band 4 Clinical Administration Coordinator to become a vital member of our dedicated and friendly team.

In the Surgical Division, we hold our Clinical Administration Coordinators in high regard. They are essential to the seamless operation of our healthcare services, ensuring that patient care remains our top priority. Within the Colorectal Service, we cater to a diverse range of surgical needs, including urgent and routine cases, as well as cancer care.

This role is dynamic and multifaceted; each day presents new challenges. As a Clinical Administration Coordinator, you will engage in various administrative tasks, maintain regular communication with patients and clinical staff, and facilitate the efficient functioning of the Colorectal Service, all while striving to provide exceptional patient care.

Our team is known for its warmth and support; this position is ideal for someone who is passionate about making a positive impact.

While previous experience in the NHS is advantageous, it is not a prerequisite, as comprehensive on-the-job training and support will be provided.

Job Duties

  • Serve as the point of contact for the Colorectal Department, addressing external and internal inquiries from staff, patients, and others, while maintaining professionalism and courtesy.
  • Address patient concerns via telephone or in person, striving for immediate local resolution in accordance with the organization's complaint procedures.
  • Manage electronic calendars for consultants, coordinating meetings as necessary and ensuring accurate maintenance of an electronic diary with effective communication of commitments.
  • Provide administrative support to consultants and their teams by reviewing and distributing incoming correspondence, disseminating information, composing reports, maintaining organized filing systems, and continuously improving administrative practices for efficiency.
  • Assist in organizing the daily tasks of the Support Secretary and Typist, ensuring that files and documents are current and available, and providing briefings on daily activities, highlighting deadlines and potential conflicts.
  • Offer administrative support during the absence of other team members.
  • Collaborate in the provision of information within the Acute & Specialist Surgery Clinical Business Unit.
  • Opportunity to take on a mentoring role within the Colorectal Administration Team.

Qualifications & Skills

Essential

  • Strong educational background, including GCSE English and Maths (grade C or above) or equivalent qualifications.
  • Secretarial qualifications or relevant experience.

Desirable

  • ECDL or equivalent certification.
  • NVQ Level 2 in Administration and Clerical.

Knowledge & Experience

Essential

  • Advanced understanding of medical terminology.
  • Proficient in Microsoft Office and Office 365.
  • Previous experience in administrative or secretarial roles.

Desirable

  • Prior administrative experience within an NHS setting.
  • Previous experience as a Medical Secretary.
  • Familiarity with patient information technology systems.
