Key Responsibilities:
- Greet all visitors and personnel with professionalism
- Oversee the distribution of mail and packages, ensuring timely delivery to various departments
- Familiarize yourself with procurement systems for creating Purchase Orders, processing invoices, and receiving goods
- Organize the acquisition of supplies and services necessary for the daily operations of the site
- Support data collection efforts to generate reports and statistics for management and budgeting purposes
- Maintain comprehensive staff records, including training, PPE issuance, laundry services, and training course bookings to fulfill site training requirements
- Efficiently manage meeting room assignments, ensure cleanliness, coordinate cleaning services, and arrange catering for meetings
- Assist in the creation and management of documentation related to Quality Assurance, Completion Packs, and Health, Safety, and Environment (HSE) standards
- Provide secretarial support as needed, including taking minutes, filing documents, and photocopying
- Record stock movements and manage inventory control for items listed on the asset registers
- Perform any other reasonable tasks assigned by your supervisor as necessary
Required Qualifications:
- A minimum of 2 years' experience in a comparable position is essential
- Proficiency in the Microsoft Office suite, especially Excel and Outlook, is required
