About the Role

We are seeking a highly organized and customer-focused individual to join our Edinburgh Lettings Team as a Client Services Assistant. As a key member of our team, you will play a vital role in delivering an exceptional customer experience to our clients and customers.

Key Responsibilities
  • Provide administrative support to ensure the efficient operation of the department and office premises.
  • Manage all phone calls and voicemail queries, ensuring prompt and professional responses.
  • Greet clients, suppliers, and associated professionals face-to-face, providing a warm and welcoming environment.
  • Provide the highest standard of client care and satisfaction, ensuring that our customers receive exceptional service.
  • Manage the viewing calendars and appointments, ensuring seamless communication with viewers and coordinators.
  • Manage a database of applicants for available properties, ensuring accurate and up-to-date information.
  • Manage the main lettings email inbox, responding to queries and concerns in a timely and professional manner.
  • Liaise with viewers and coordinators to best manage diaries and viewings, ensuring maximum efficiency.
Key Requirements
  • Administrative experience, with a focus on customer service.
  • Excellent call-handling skills, with the ability to remain calm under pressure.
  • Proficiency in Microsoft applications, with the ability to learn new systems quickly.
