Position Overview
As an Executive Assistant to the CEO, you will play a crucial role in providing high-level administrative and business partner support to the CEO and their office. This position reports directly to the Chief of Staff and involves acting as the administrative liaison to the Board of Directors, managing executive commitments, and facilitating C-Suite initiatives.

Key Responsibilities

  • Manage the CEO's calendar with sophistication, prioritizing inquiries and requests while resolving conflicts and making informed decisions to ensure a seamless daily schedule.
  • Coordinate travel arrangements and accommodations for the CEO, including managing expense reports.
  • Assist the CEO in various tasks to enhance their ability to lead effectively, such as conducting research, generating reports and presentations, creating briefings, and preparing meeting agendas and documents.
  • Maintain close communication with the CEO to keep them informed of upcoming commitments and responsibilities, anticipating their needs ahead of meetings and events.
  • Serve as a 'gateway' to the CEO, ensuring efficient communication between the CEO and employees, while fostering credibility and trust with the Senior Executive Team [SET].
  • Provide administrative support to the Chair and Board of Directors, including scheduling meetings, taking minutes, and distributing Board materials.
  • Assist in preparing CEO correspondence for internal announcements, Board meetings, and events in collaboration with the Chief of Staff and the Marketing and Communications team [MarComs].
  • Conserve the CEO's time by gathering, researching, and analyzing information as needed in advance.
  • Handle ad hoc requests as necessary, including personal or family matters.

Qualifications

  • Minimum of 2 years of executive support experience, specifically supporting C-suite executives in individual and team settings.
  • Proficient in Microsoft Office Suite [Outlook, Word, Excel, and PowerPoint].
  • Exceptional verbal and written communication skills, capable of engaging with senior internal contacts and client stakeholders to a consistently high standard.
  • Outstanding organizational skills and meticulous attention to detail, with the ability to prioritize tasks and think analytically.
  • Ability to work independently and confidentially, demonstrating a high level of professionalism.
  • Capacity to respond with appropriate urgency to situations requiring quick decisions regarding priorities and workload.
  • Maintain a high level of integrity and discretion when handling confidential information.
  • Proven time management skills, with the ability to meet deadlines and perform well in a fast-paced environment.
  • High cognitive flexibility, comfortable transitioning between strategic and operational tasks.
