Position Summary:

We are excited to announce a pivotal opportunity for a Senior Event Executive to join our team. This role is essential as we expand our responsibilities with a significant corporate client. You will be instrumental in developing a comprehensive operational project plan for their flagship annual event, which we will support throughout the year. Your focus will be on ensuring the event's success, dedicating 80% of your efforts to this key project.

In collaboration with the director, you will manage the project from inception to completion, overseeing timelines, budgets, and logistical details to ensure every aspect is meticulously organized. This position requires not only pre-event planning but also on-site management during the event.

The ideal candidate will possess exceptional organizational skills and a passion for project management. We seek an ambitious individual eager for autonomy and the chance to leave a lasting impact.

While your primary focus will be on our major client, you will also collaborate with our team on various projects, including conferences, exhibitions, corporate events, award ceremonies, and consumer experiences throughout the year.

Key Responsibilities:

  • Develop and maintain a detailed project plan and timeline, along with a budget for the event, ensuring adherence to schedules and deadlines.
  • Oversee the complete management of the event, coordinating with suppliers, engaging stakeholders, and collaborating with the operations team to execute large-scale events successfully.
  • Monitor budgets closely, controlling operational expenses to keep events within financial limits, including negotiating contracts with suppliers and venues.
  • Participate in regular meetings with clients to understand their objectives and ensure event execution aligns with their goals.
  • Adhere to company policies and sustainability principles while striving to enhance the sustainability performance of live events.
  • Ensure timely delivery of all Health & Safety and Risk Assessment documentation for the event.
  • Source and secure the best suppliers and services for each event at competitive prices.
  • Maintain organized project files for events on our shared drive.
  • Provide administrative support across various projects.
  • Manage and support events on-site.

Qualifications:

  • Proven project management skills, with the ability to prioritize tasks, manage timelines, and adhere to budgets using tools like Asana and Excel.
  • A minimum of 2 years of experience in managing large event projects.
  • Experience in budgeting is essential, with overall P&L responsibility being a plus.
  • Outstanding planning and time management abilities, capable of working under pressure and managing multiple events simultaneously.
  • Strong stakeholder management skills, with the ability to collaborate effectively across teams.
  • A creative thinker with a desire to grow in the events industry.
  • Proficient in IT (Word, Excel, PowerPoint) and familiar with design software.
  • Meticulous attention to detail and a creative perspective.
  • A valid, clean driving license is required.
