Position Summary:

We are seeking a Senior Event Executive to play a pivotal role in managing one of our significant corporate partnerships. This long-standing client has entrusted us with expanded responsibilities, necessitating the expertise of a Senior Event Executive. In this capacity, you will be responsible for developing a comprehensive operational project plan for their flagship annual event, which we will support throughout the year. This role is vital, as a substantial portion of your focus will be dedicated to ensuring the event's success.

Collaborating closely with the agency's director, you will guide this project from conception to execution, overseeing timelines, budgets, and logistical details to ensure every aspect is meticulously organized. Your responsibilities will encompass not only pre-event planning but also providing on-site support during the event.

The ideal candidate for this Senior Event Executive position will possess exceptional organizational skills and a proven track record in project management. We are looking for an ambitious individual who is eager for greater autonomy and the chance to leave a lasting impact.

While your primary focus will be on our client, you will also collaborate with our team on various projects within our events portfolio, which may include conferences, exhibitions, corporate celebrations, award ceremonies, and consumer experiences throughout the year.

Key Responsibilities:

  • Develop and maintain a detailed project plan and timeline, along with a financial overview for the event, ensuring adherence to schedules and deadlines.
  • Manage the entire project lifecycle of the event, coordinating with suppliers, engaging stakeholders, and collaborating with a broader operations team to execute large-scale events successfully.
  • Oversee budget management, closely monitoring expenses to ensure events remain within financial parameters. This includes negotiating favorable terms with suppliers and venues.
  • Participate in regular client meetings to understand their objectives and ensure event execution aligns with their vision.
  • Adhere to company policies and sustainability principles while striving to enhance the environmental performance of live events.
  • Ensure timely delivery of all Health & Safety and Risk Assessment documentation for the event.
  • Source suitable suppliers for each event, securing high-quality products and services at competitive prices.
  • Maintain organized project files for events on our shared platform.
  • Provide administrative support across various projects.
  • Deliver on-site event management and support.

Qualifications:

  • Proven project management expertise, with the ability to prioritize tasks, manage timelines, and adhere to budgets using tools like Asana and Excel.
  • A minimum of 2 years of experience in managing large-scale events.
  • Budget management experience is essential, with overall financial responsibility being an advantage.
  • Exceptional planning and time management skills, capable of thriving under pressure and managing multiple events simultaneously.
  • Strong stakeholder management skills, with a demonstrated ability to collaborate effectively across teams.
  • A creative thinker with a passion for advancing in the events industry.
  • Proficient in IT applications (Word, Excel, PowerPoint) and design software tools.
  • Meticulous attention to detail and a creative perspective.
  • A valid driving license is required.
