Position Summary:
We are seeking a Senior Event Executive to take on a pivotal role in managing one of our significant corporate partnerships. This long-standing client has entrusted us with expanded responsibilities, necessitating the recruitment of a Senior Event Executive. In this capacity, you will be responsible for developing a comprehensive operational project plan for their flagship annual event, which we will support throughout the year. This role is vital, as a substantial portion of your focus will be dedicated to ensuring the event's success.
Collaborating closely with the agency's director, you will guide this project from inception to completion, overseeing the timeline, budget, and logistical execution. Your responsibilities will encompass both pre-event planning and on-site support during the event.
The ideal candidate for this Senior Event Executive position will possess exceptional organizational skills and outstanding project management capabilities. We are looking for an ambitious individual eager for greater autonomy and the chance to leave a lasting impact.
While your primary focus will be on supporting our client, you will also collaborate with our team on various projects within our event portfolio, which may include conferences, exhibitions, corporate gatherings, award ceremonies, and consumer experiences throughout the year.
Key Responsibilities:
- Develop and maintain a detailed project plan and timeline, along with a budget for the event, ensuring adherence to schedules and deadlines.
- Oversee the comprehensive project management of the event, coordinating with suppliers, engaging stakeholders, and collaborating with a larger operations team to successfully execute large-scale events.
- Manage budgets diligently, monitoring operational expenses to ensure events remain financially viable. This includes negotiating with key suppliers and venues to secure favorable terms and managing payment schedules.
- Participate in regular client meetings to gain a clear understanding of objectives and ensure event execution aligns with client goals.
- Adhere to company policies and sustainability principles while actively enhancing the sustainability performance of live events.
- Ensure timely delivery of all Health & Safety, Risk Assessment, and relevant documentation for the event.
- Source suitable suppliers for each event, securing the best products and services at competitive prices.
- Maintain organized project files for events on our shared drive.
- Provide administrative support across all projects.
- Manage and support events on-site.
Qualifications:
- Proven project management skills, with the ability to prioritize tasks, manage timelines, and adhere to budgets using tools like Asana and Excel.
- A minimum of 2 years of experience in managing large event projects.
- Experience in budgeting is essential, with overall P&L responsibility being an advantage.
- Exceptional planning and time management skills, with the ability to work under pressure and manage multiple events simultaneously.
- Demonstrated expertise in stakeholder management, with strong collaboration and relationship-building skills.
- A creative thinker with a passion for advancing in the events industry.
- Proficient in IT (Word, Excel, PowerPoint) and capable of using design software tools.
- Meticulous attention to detail and a creative perspective.
- A valid, clean driving license is required.
