The Role

The position of Quality Assurance and Administration Assistant has been newly established to support the Team Leader in assisting the broader Dispute Resolution & Litigation team in Scotland. The primary responsibilities include (1) aiding in internal compliance oversight audits and (2) providing administrative assistance to the legal teams and their clients.

We encourage applications from individuals who may not possess all the required skills or experience, as comprehensive training will be provided to the successful candidate.

Main Responsibilities

Quality Assurance and Compliance:

  • Conduct quality assessments on work completed by the department to ensure adherence to internal and external standards, including file and call audits.
  • Assist in preparing responses for client audits.
  • Support the team leader in maintaining policy and procedure documentation.
  • Help maintain compliance records.
  • Assist in the preparation of training materials and deliver training on client standards to the wider DR&L team in Scotland.

Administrative Responsibilities:

  • Provide daily administrative support to the DR&L team as directed by the Team Leader.
  • Assist Litigation Managers with both internal and external reporting.
  • Engage in litigation activities in accordance with court processes as directed by the Team Leader, including issuing and serving court claims.
  • Manage internal and external data transfer platforms.
  • Support the department with various financial tasks.
  • Assist with the onboarding of new client instructions.

General Responsibilities:

  • Familiarize yourself with and adhere to the Unit's policies, procedures, and processes.
  • Comply with all firm policies and regulatory requirements.
  • Effectively manage your workload using relevant case management systems and IS resources.
  • Be accountable for your workload, ensuring internal and client SLA requirements are met.
  • Identify potential issues in cases and refer them appropriately.
  • Complete any required training in a timely manner.
  • Attend internal and external meetings as necessary and assist in implementing changes to Unit procedures.
  • Liaise with other internal teams as needed.
  • Assist the Unit in achieving financial targets, KPIs, management information, and budget compliance.
  • Support marketing initiatives when required and compile management information.
  • Assist the department with additional administrative tasks as directed by your line manager.
