Practice Operations Administrator

About the Role
Haresfield Surgery is seeking a highly organized and detail-oriented Practice Operations Administrator to support the Practice Manager and Assistant Practice Manager in the day-to-day running of the practice. As a key member of the management team, you will be responsible for providing administrative support across all departments, ensuring the smooth operation of the practice and maintaining high standards of patient care.
Key Responsibilities
- Provide administrative support to the Practice Manager and Assistant Practice Manager, including managing room bookings, updating absence and sickness records, and liaising with management as needed.
- Support the Practice Manager with recruitment, onboarding, and personnel administration, including managing internal training records and booking external training courses.
- Assist with the implementation of new and updated commissioning policies, updating weekly and monthly workforce and practice capacity reporting to commissioners, and maintaining the Policies and Procedures register.
- Conduct internal audits, quality control checks, and participate in external inspections to maintain accreditation and certification standards.
- Support the management team in investigating complaints and Significant Events, maintaining an up-to-date register of events and outcomes, and providing minute-taking support for planned meetings.
Requirements
- Proven experience in a General Practice setting, with a broad range of skills and knowledge.
- Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
- Trustworthy, with an ability to maintain business confidentiality at all times.
- Excellent communication, interpersonal, and teamwork abilities.
- Proficiency in General Practice clinical software and computer literate.
Working Conditions
The main place of work will be based at Haresfield Surgery, but there may be occasional times where travel is required to the practice's branch surgery in Kempsey. The post-holder must take responsibility for their own and others' health, safety, and security, adhering to Practice procedures and policies, and current legislation.

The post-holder will support the equality, diversity, and rights of patients, carers, and colleagues, respecting the privacy, dignity, needs, and beliefs of all individuals. They will also participate in any training program implemented by the Practice, including maintaining a record of own personal and/or professional development.
