Job Description

The Role

We are seeking a highly organised and detail-oriented Office Administrator to join our UK team at Scendea, a leading international product development and regulatory consulting group. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office, providing administrative support to the wider team, and contributing to the company's growth and success.

Main Responsibilities
  • Complete administrative tasks autonomously, including placing orders and bookings, preparing meeting materials, and re-stocking office consumables.
  • Support the Business Support Team in ensuring the office runs effectively and efficiently.
  • Manage reception duties, including being the primary point of contact for deliveries and telephone calls.
  • Provide good intra-office communication, including sending out internal communications to the wider team.
  • Communicate with external suppliers, such as cleaners, maintenance, and deliveries.
  • Complete regular inventory and audit checks, and general administrative office procedures.
  • Update and maintain records accurately, sometimes of a confidential nature.
  • Ensure compliance from colleagues to Company Policies regarding office working, and health and safety.
  • Escalate concerns and issues in a timely manner.
  • Be an Emergency first-aid at work representative and fire warden (training given).
  • Identify and support the development and implementation of Environmental, Social, and Governance (ESG) improvements to the office.
Requirements
  • A competent level of proficiency with the Microsoft Office suite (Outlook, Excel & Word).
  • Strong interpersonal and professional communication skills (both written and oral).
  • An adaptable, flexible, and enthusiastic team member.
  • Able to multi-task within a fast-paced environment.
  • Be highly proactive and demonstrate initiative.
  • Have a strong sense of integrity and ability to manage sensitive and confidential information with discretion and professionalism.
  • Ability to work both independently and within a close team.
  • Attention to detail, and with a service-oriented attitude.
  • Experience with Client Relationship Management systems, or HR systems would be an advantage.
