We are seeking a highly organized and proactive Team Assistant to provide comprehensive support to the Managing Director (MD) of Advertising and the Chief Commercial Officer (CCO). This is a dynamic and multifaceted role that requires a strong ability to multitask and prioritize effectively in a fast-paced environment.
Key Responsibilities- Provide administrative support to the CCO and MD, including diary management, meeting coordination, and email inbox management.
- Coordinate internal and external meetings, including securing meetings with senior agency and client contacts.
- Manage travel arrangements, including international and domestic travel, and ensure timely and accurate submission of expense reports.
- Oversee the day-to-day operations of the Ads department, ensuring smooth functionality and efficient use of resources.
- Coordinate travel arrangements for the department and manage the distribution of magazine voucher copies.
- Process and manage expenses for the Ads Leadership Team (LT) and organize Christmas and birthday gifts for the Ads LT.
- Assist in planning and executing various department events, including sales days, Quarterly All-Hands meetings, and cultural events.
- A proactive and self-starter who can multitask and prioritize effectively in a fast-paced environment.
- Exceptionally organized, with a calm demeanor when under pressure.
- Experience in event management, with a proven track record of executing high-pressure events with tight deadlines.
- Strong communication skills and a team-oriented attitude.
- A keen sense of responsibility and attention to detail, particularly in managing confidential or high-stakes tasks.
