We are seeking an experienced and skilled Administrative Support Professional to join our team at Sodexo Ltd. As an Administrative Assistant, you will play a vital role in supporting the day-to-day operations of our administration/engineering team.
Key Responsibilities- Assist in the day-to-day running of the administration/engineering team, providing administrative support as needed.
- Support the Technical Team Support Manager/Senior Technical Services Manager in their duties.
- Collate Engineer attendance via internal time management system (Kronos) & SAP.
- Utilize internal CAFM systems to manage and maintain accurate records.
- Ensure timely processing of invoices on SAP/Basware and serve as the escalation point for the accounts team.
- Liaise with TFM's/GSM's and other required staff to ensure a smooth running of services across the contract.
- Adhere to company and client health and safety requirements.
- Provide cover for other regions as required.
- Verify and ensure accuracy of quotations and contract change requests.
- Provide support during and after internal or external audits.
- Enthusiastic, energetic, and passionate about administrative work.
- Adaptable and able to work flexibly to suit the workload.
- Good organizational and planning skills, with attention to detail.
- Able to work under pressure.
- Self-starter, with excellent time management.
- Excellent communication skills.
- Good problem-solving skills.
- Driving License Essential, as working on various sites will be required.
- Strong IT skills required.
- Prior knowledge of working on a multi-site facilities contract.
- Experience of working with Payroll and Billing systems (SAP, SAGE etc).
- Experience of working with CAFM systems (Maximo, Evolution etc).
- Prior knowledge of month-end finance collation.
