About the Role

We are seeking an experienced and skilled Administrative Support Professional to join our team at Sodexo Ltd. As an Administrative Assistant, you will play a vital role in supporting the day-to-day operations of our administration/engineering team.

Key Responsibilities
  • Assist in the day-to-day running of the administration/engineering team, providing administrative support as needed.
  • Support the Technical Team Support Manager/Senior Technical Services Manager in their duties.
  • Collate Engineer attendance via internal time management system (Kronos) & SAP.
  • Utilize internal CAFM systems to manage and maintain accurate records.
  • Ensure timely processing of invoices on SAP/Basware and serve as the escalation point for the accounts team.
  • Liaise with TFM's/GSM's and other required staff to ensure a smooth running of services across the contract.
  • Adhere to company and client health and safety requirements.
  • Provide cover for other regions as required.
  • Verify and ensure accuracy of quotations and contract change requests.
  • Provide support during and after internal or external audits.
Requirements
  • Enthusiastic, energetic, and passionate about administrative work.
  • Adaptable and able to work flexibly to suit the workload.
  • Good organizational and planning skills, with attention to detail.
  • Able to work under pressure.
  • Self-starter, with excellent time management.
  • Excellent communication skills.
  • Good problem-solving skills.
  • Driving License Essential, as working on various sites will be required.
  • Strong IT skills required.
Desirable Qualifications
  • Prior knowledge of working on a multi-site facilities contract.
  • Experience of working with Payroll and Billing systems (SAP, SAGE etc).
  • Experience of working with CAFM systems (Maximo, Evolution etc).
  • Prior knowledge of month-end finance collation.
